Asked Questions
Whether you need a visa for a business trip to the Netherlands (a Schengen area country) depends primarily on your nationality and the length of your stay.
If you are a non-EU/EEA national, you may need a short-stay Schengen visa for business activities (meetings, conferences) up to 90 days in a 180-day period.

If you do not need a visa, you still might need other documents to travel to the Netherlands (for example proof of stay and/or proof of travel, see: Check what documents you need to travel to the Netherlands)
Apply Early
If a visa is required, apply up to 6 months (but no later than 45 days) before your trip.
Invitation letter?
You may need an Invitation letter from the company or event you will be visiting in the Netherlands, on official company paper with a stamp and signature, as proof of your business purpose.
If you need such an invitation letter, please contact our MetLib Team at metlib@bibliotheekutrecht.nl (please mention as subject ‘Invitation letter’).
You will then receive an invitation letter from us, of which you must then bring a color copy upon arrival in the Netherlands.

We can prepare an invoice for you containing all the details required to complete the participation fee and registration.
For this, we require a full name and address, a telephone number, and an email address to which the invoice should be sent. Please contact us regarding this. The request will then be processed within a few working days. As soon as payment is received, we will send you the ticket to participate in the conference.

Cancellation received before 1 September 2026:
Administration costs, bookingfee: 0.030% of registration fee*.
Cancellation received between 1 September – 3 October 2026:
50% of registration fee.
Cancellation received on or after 4 October 2026:
100% of registration fee.
The final cutoff aligns with our catering commitments, which can no longer be adjusted from 4 October onward.

Substitutions are welcome at no extra cost, simply let us know the name and details of your replacement and we’ll take care of the rest.
Unforeseen circumstances
We recognize that travel restrictions, illness, or other unforeseen situations may arise. In such cases, please reach out to us directl, we’ll gladly discuss the options together.

Please check the cancellation terms with XCover if you took out this insurance. We are not liable for any claims made through them; this is a voluntary agreement between you and XCover.
* We have absorbed the booking fees into the ticket price for you, we cannot do this a second time in the event of cancellation. Thank you for your understanding.

Utrecht Library can provide an invoice of your registration/purchase but only after the payment has arrived, which usually takes from three to five workings days. Moreover, invoices are not issued automatically, so please consider that it will take at least another three to five working days for our staff to send the invoice. Contact us with full details for your invoice (address, company name, etc.). Please mention ‘invoice request’ in the subject field, so we can help you as soon as possible.
